Migrating to a VoIP phone system: how it works

With the big phone switch off fast approaching, 2024 will be the year that many organisations shut down their decaying, outdated phone systems and upgrade to VoIP.

We’ve talked a lot about VoIP in the past, so we won’t go into lots of detail today about what it is and how it works (if you want to know more though, we recommend reading this blog).

But for now, you only need to know 3 key points:

  1. VoIP is a telephone system that allows you to take calls over the internet
  2. As the UK is phasing out all analogue phone systems by December 2025, all businesses need to start switching over to VoIP, if they haven’t already
  3. Not only is this a necessary move, but it’s beneficial for your business – VoIP is cheaper to maintain, easy to install, and offers a much better service than old phone networks that use unreliable copper cabling

So, how do I make the move?

  1. Get in touch – Rather than leaving you to fend for yourself, the Equations team are experts in telecoms and know exactly how to migrate your organisation over to a new, shiny network. We work with small businesses, expansive organisations, remote teams, schools, hospitals… we could go on! And more importantly, we know that every business is different.
  • That brings us on to point number two: working out the individual needs of your business and your team – Not all VoIP systems are the same, and we’ll run through all the options and narrow down the best choice for you.
  • Internet assessment – as VoIP relies on the internet to function, you need to have a decent connection. VoIP often requires a high bandwidth – particularly if you’ll have a lot of staff members using your phone system at the same time. The good thing is that here at Equations, we know a thing or two about broadband and can fit you up with an upgrade if needed. You can find out about some of our broadband options here.
  • Phone options – a VoIP phone system can have a few different looks, and we’ll help you to select the best one for you. For example, would phone handsets be your go-to choice? Or maybe a computer-based phone system that’s easier to transport would be better? Don’t worry, we’ll help you to decide all of this.
  • Setting up – Luckily, VoIP is nice and easy to install. As it doesn’t need to be hooked up to the country’s traditional phone network, there are a lot less components and stages involved. We’ll take care of it all for you though.
  • Testing and training – There’s no point in having a brilliant new phone system if none of your team feels confident using it! That’s why we’ll run through the system with you, answer any of your queries, and will do plenty of tests to check everything is running smoothly.
  • Always here – Setting you up then disappearing, never to be contacted again, isn’t really our style. So, if you ever experience any issues or have any questions in the future, the Equations teams are always more than happy to help.
