There are now 9.2 million people working in the UK with dependent children. Not sound like that many? That’s almost one in every four people of working age, so the chances are that no matter what line of business you’re in or how large or small your organisation may be, you’re highly likely to work with a parent.
With parenting comes obvious responsibility, and never is this more significant than during the periods taken up by school holidays. These periods can lead to lower staffing levels, people working from home or perhaps enjoying leave and some well-earned time with their family. For any organisation, the holidays can also present a challenge; how do you ensure that communication is as slick and efficient as it is when everyone is in the office or at the desk and free to answer calls?
There are a number of things that your telephone system should be able to do in order to handle these periods, ensuring that your customers, suppliers, and whoever else is trying to contact you, still gets the same swift reply they always do…
If someone isn’t at their desk for a few days, a week or even longer, it makes no sense for calls to be sent through to their phone resulting in either no response or them leaving a message in a voicemail inbox that will gather dust while waiting for the person to return.
Your phone system should allow you to easily forward calls from that number to the most relevant person to handle enquiries. Remember, this doesn’t necessarily have to be the person sitting next to them!
Are they working from home?
If they’re working from home then you should also be able to forward calls to their mobile. What if your employees don’t have business mobiles? Then VoIP could be a great option for you as it allows them to plug the phone in to any internet connection and be contactable on their usual direct dial number.
Worried about racking up call forwarding charges?
Some providers will add charges each time you forward a call – they see it as you calling someone from one phone to another. If your current provider is charging you large rates for call forwarding then get in touch with us as we may well be able to cut your call charge costs.
We know it’s not all about calls
We know that when it comes to having people working remotely it isn’t just about calls – it’s about overall productivity. An employee that’s cut off from the rest of the organisation by not being able to attend meetings or share documents is going to be far less effective. So the question is, does your phone system also allow you to integrate video conferencing, share documents in meetings or hold vital conference calls, all without additional IT infrastructure and costs?
If the answer is no then it may be time to change. The good news is that it’s also incredibly simple and easy to do! Want to talk to us about your business and how you’d like your phone system to work for you? Give us a call on 01237 420010
